Instead, three perspectives must be brought together from the outset:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Management:<\/strong> What business goals does the company pursue?<\/li>\n\n\n\n<li><strong>Specialized areas:<\/strong> What are the requirements of the employees and how can they improve their productivity?<\/li>\n\n\n\n<li><strong>IT:<\/strong> What tools and technical frameworks are needed to meet these requirements?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If one or more of these perspectives are neglected during planning, blind spots result. The technical solution may then not fit the actual workflows or is not accepted by the employees.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A modern workplace should therefore always be designed based on the specific requirements of the company \u2013 not on the capabilities of a software solution.<\/p>\n\n\n\n<h2 id=\"h-strategie-und-governance-erst-das-was-dann-das-wie\" class=\"wp-block-heading\">Strategy and Governance: First the What, then the How<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft 365 provides companies with a wide range of tools: from communication and collaboration to information management and the development of individual solutions. This diversity is a great opportunity, but it can also lead to cluttered structures.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Therefore, companies should answer two basic questions: <strong>What do I want to achieve and how do I want to achieve it?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That describes the <a href=\"https:\/\/www.accompio.com\/en\/service\/it-consulting-transformation\/microsoft-365-consulting\/\" data-type=\"link\" data-id=\"https:\/\/www.accompio.com\/de\/service\/it-consulting-transformation\/microsoft-365-consulting\/\">Strategy<\/a>, That is, the business goals and desired results. How describes the <a href=\"https:\/\/www.accompio.com\/en\/service\/it-governance\/\" data-type=\"link\" data-id=\"https:\/\/www.accompio.com\/de\/service\/it-governance\/\">Governance<\/a>What rules, responsibilities, and standards apply when using the technologies?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Both aspects must be considered from the very beginning. This includes, for example, determining how teams and SharePoint structures are built, who is allowed to grant permissions, and how information is stored and shared within the company.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Will <a href=\"https:\/\/www.accompio.com\/en\/service\/modern-workplace\/managed-microsoft-365\/\" data-type=\"link\" data-id=\"https:\/\/www.accompio.com\/de\/service\/modern-workplace\/managed-microsoft-365\/\">Microsoft 365<\/a> On the other hand, simply rolling them out and then leaving them to their own devices can lead to entitlement structures that have grown over time, inconsistent policies, and unclear responsibilities.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is particularly relevant when it comes to access rights. Not every security incident is due to external attacks. Incomplete permissions and careless releases can also lead to employees gaining access to information they do not actually need.<\/p>\n\n\n\n<h2 id=\"h-sicherheit-und-produktivitat-gehoren-zusammen\" class=\"wp-block-heading\">Safety and productivity go hand in hand<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A modern workplace must be easy to use and at the same time safe. For Marco Jilg, this is not a contradiction. He compares safety measures to the brakes of a car: they do not fundamentally make you slower, but rather enable you to move quickly safely and with control.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is crucial to adequately protect against risks without burdening employees with unnecessary regulations. Instead of imposing increasingly strict requirements in a blanket manner, companies should rely on intelligent security mechanisms.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">An example is adaptive security measures: If a system detects unusual access patterns, such as access from an unexpected geographical location, it can require additional security checks. In normal working operations, however, the processes remain as simple as possible.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Another important component is identity and authorization management. Companies must clearly regulate who can access which information. For this, clear responsibilities and guidelines are needed \u2013 especially in the departments where many content is created and shared.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Security should therefore not be understood as an additional restriction, but as an integral part of the modern workplace.<\/p>\n\n\n\n<h2 id=\"h-mehr-microsoft-365-funktionen-bedeuten-nicht-automatisch-mehr-produktivitat\" class=\"wp-block-heading\">More Microsoft 365 features do not automatically mean more productivity<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Teams, Outlook, SharePoint, OneDrive, and OneNote offer different ways of collaborating. However, if they are used without clear rules, the multitude of tools can quickly lead to duplicative structures.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When the same information is disseminated simultaneously via email, a team message and through other channels, this does not automatically create added value. Information is simply distributed multiple times.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Instead, companies should define which tool is intended for which purpose. A possible guideline:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Outlook:<\/strong> Email communication<\/li>\n\n\n\n<li><strong>Microsoft Teams:<\/strong> Collaboration and coordination<\/li>\n\n\n\n<li><strong>SharePoint:<\/strong> Provision and management of corporate knowledge<\/li>\n\n\n\n<li><strong>OneDrive:<\/strong> Personal workspace and individual files<\/li>\n\n\n\n<li><strong>OneNote:<\/strong> Personal notes and knowledge collection<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Such standards provide orientation and reduce unnecessary switching between applications.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Companies should not only consider the tools, but also their business processes. This creates a continuous improvement process that is much closer to the actual needs of the employees than a purely centralized introduction.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Marco Jilg recommends the approach for implementation <strong>\u201eThink big, start small\u201c<\/strong>Companies should have a clear vision of where they want to go in the long term, but start with manageable steps.
